2025-2026 Policies and Procedures
3357:12-14-76-1-Diploma Cover Presentation Procedures
|

PURPOSE
To outline the process by which current faculty or staff may request to present a diploma cover to their direct relative during the commencement ceremony.
ELIGIBILITY
- The presenting individual must be a current Zane State College faculty or staff member.
- The graduating student must be a direct relative of the faculty/staff member (e.g., child, stepchild, grandchild).
- Requests involving friends or non-relatives will not be approved.
PROCEDURE GUIDELINES
1.Submit a Request
Faculty or staff must complete and submit the Diploma Cover Presentation Request Form no later than two weeks before the commencement ceremony. The form will be available through a link on My ZSC-Employee Page.
2.Approval and Notification
Approved requests will be confirmed via email by the Registrar’s Office. Denied requests will also be communicated with a reason for the decision.
3.Commencement Day Instructions
- Approved faculty/staff members will receive instructions regarding lineup, timing, and stage procedures.
- They will be guided by the Commencement Committee on when and how to present the diploma cover on stage.
- Professional attire is required, and academic regalia is strongly encouraged, especially if walking in the ceremony.
4.Limitations and Expectations
- Presenters must maintain the formality and decorum of the ceremony.
- No gestures are permitted beyond the formal handing of the diploma cover and brief congratulatory greeting (e.g., a handshake or hug).
