3357:12-14-50-1-Procedure for Managing Holds on Graduating CCP Students

|
- PURPOSE: To ensure all graduating College Credit Plus (CCP) students complete a traditional application before enrolling in classes, and to apply the correct tuition code to their student records.
- PROCEDURE STEPS:
- Placing Holds on Graduating CCP Students
- During the first week of March each year:
- Identify all former and current graduating CCP students using the student information system Jenzabar One.
- Apply the “CC” registration hold to each identified graduating CCP student record.
- The hold clearly indicates: “Graduating CCP Hold: New Application Required for Registration. To lift the current hold on your account, please complete an application as a traditional student at www.zanestate.edu - click Apply Now.”
- Communicating the Hold to Students
- Notify all impacted students about the hold:
- Send an email to each student explaining the hold and its purpose.
- Provide contact information for the Admissions Office for assistance.
- Student Application Process
- Direct students to the application portal to submit an application.
- Ensure that students receive a confirmation email upon successful application submission.
- Removing the Hold
- Once a student’s application as a traditional student has been submitted and processed:
- The Admissions Coordinator will verify the application is complete and correct.
- The Admissions Coordinator will remove the hold from the student’s record in Jenzabar One.
- The Admissions Coordinator will verify applicants tuition code during the Admissions to Registration process.
- Follow-Up
- Monitor student records periodically to ensure that:
- Holds are being removed in a timely manner.
- Tuition codes are accurate for all students transitioning from CCP to traditional enrollment.
- Provide support to students experiencing issues with the application process, hold removal, or verifying tuition code.
- RESPONSIBLE PARTIES:
- Admissions Coordinator: Responsible for processing applications and removing holds.
- Academic Advising Office: Provides guidance to students as needed.
- Business Office: Ensures the student information system is updated and the appropriate tuition code is on the student.
- TIMELINE:
- Holds applied: First week of March.
- Application processing: Ongoing as applications are submitted.
- Hold removal: Upon completion of the application process.
- EXPECTED OUTCOMES:
- All transitioning CCP students will have completed the required application for continued enrollment.
- Accurate tuition codes will be applied to student records.
- Registration holds will prevent enrollment without the application process being completed.
