3357:12-14-37-Student Location Determination Policy


A.POLICY

 

Federal and state regulations mandate that institutions of higher education determine the state in which a student is located, and this determination must be applied consistently to all students. The purpose of this policy is to outline how Zane State College determines a student’s location. This policy applies to all students enrolled in credit-bearing courses at Zane State College, whether they are attending in-person or online.

 

B.POLICY GUIDELINES

 

Zane State College considers the address on file in the student information system as the student’s physical location. Due to federal and state regulations, the College may be restricted from offering online courses and programs to students in certain states and countries. Admission to an online program or enrollment in an online course is based on the student’s physical location during the course. Additionally, activities such as completing clinical, practicum, or internship requirements outside of Ohio are subject to these regulations. A student’s physical location is recorded in the student information system at the time of enrollment and remains in effect until the student provides an official notification of address change. Official notification requires the completion of the online address change form in the student information system and/or the paper Change of Address Form available at the Registrar’s Office in College Hall. Depending on the new location, Zane State College may or may not be able to allow the student to continue taking online courses or approve clinical, practicum, or internship placements.

 

Location of a Student

IPEDS - Location for those students enrolled exclusively in distance education should be their physical location or current address, as of the institution’s Fall reporting date. If this is not available, use the address on file for the student. For students enlisted in the military on active duty, use the permanent address instead of student’s physical location.

NC-SARA - Location is the state, territory, or district where the student is located while receiving the instruction and does not refer to the student’s official state of residence. Report military students as you would all students: according to their location while taking the particular course or courses during the time period covered.
