3357:12-14-24-Course Add, Drop, and Withdrawal Policy

A.POLICY
This policy establishes the procedures and guidelines for adding, dropping, and withdrawing from courses at Zane State College. The policy ensures students understand how changes in their schedule can affect academic progress, billing, and financial aid.
B.POLICY GUIDELINES
- Adding Courses
- Timeline: Students may add courses during the first week of a full semester or term through My ZSC. Courses offered in nonstandard terms may have prorated deadlines.
- Approval: Advisor approval is required for students to add courses to their schedule.
- After Deadline: After the add deadline, students must obtain written approval from the course instructor using the Course Add/Drop/Withdraw Authorization form, available from the Registrar’s Office at registrar@zanestate.edu.
- Impact: Adding courses after the deadline may affect billing and financial aid status.
- Dropping Courses
- Timeline: During the first two weeks of a full semester or term, students may drop courses online through My ZSC. Students with fewer than 30 earned credit hours must contact their program advisor or success coach in Student Services for assistance. Nonstandard terms may have prorated deadlines.
- Transcript: No entry will be made on the student’s transcript for dropped courses.
- Refunds: Refunds for dropped courses follow the Refund Time Frame listed on My ZSC at https://my.zanestate.edu/ICS/Finances/Refunds.jnz.
- Impact: Dropping courses may affect billing and financial aid status.
- Withdrawing from Courses
- Timeline: From week 3 to week 10 of a full semester, or week 3 to week 5 of an 8-week term, students may withdraw from courses through My ZSC. Nonstandard terms may have prorated deadlines.
- Transcript: A grade of “W” will be recorded on the student’s transcript for withdrawn courses. If a student stops attending without officially withdrawing, a grade of “FN” may be assigned.
- Impact: Withdrawals may impact billing and financial aid status. Students who have already received a grade for a course are ineligible to withdraw.
- Late Withdrawals: After the last withdrawal deadline, students with extenuating circumstances (e.g., serious medical illness or injury) may submit a Late Withdrawal form. The request must include supporting documentation as specified in the form. For assistance, students may contact the Registrar’s Office at registrar@zanestate.edu.
