3357:12-14-21-Program Advisor Registration Abilities

A.POLICY
This policy establishes the conditions and procedures under which program advisors may be granted registration abilities at Zane State College. The policy ensures that students receive timely assistance with course registration while maintaining the integrity and accuracy of the registration process.
B.POLICY GUIDELINES
- Eligibility for Registration Abilities
- Program advisors will be granted the ability to register students for courses if their program has more than 100 advisees.
- This capability is intended to facilitate student enrollment in cases where students are unable to complete the registration process independently.
- Mandatory Training Requirement
- Before registration privileges are granted, program advisors must complete mandatory training conducted by the Registrar’s Office.
- The training will cover:
- Responsibilities and best practices for registration.
- Procedures for course registration and drops.
- Appropriate use of registration abilities to avoid misuse.
- Conditions for Use
- Student Self-Registration:
- Program advisors must allow and encourage students to complete their own course registration through the My ZSC portal.
- Advisor-Registered Courses:
- Registration permissions should only be used in cases where the student is demonstrably unable to complete the registration process on their own.
- If a student indicates they are unable to register, they must first be directed to the Registrar’s Office to resolve any issues preventing registration.
- Notification Requirement
- If a program advisor registers or drops a course on behalf of a student, the advisor must send an email notification to registrar@zanestate.edu.
- The email must include the following information:
- Student’s name
- Student ID
- Course(s) added or dropped
- Brief explanation of the circumstances
- Student’s authorization to make the registration change
- Compliance and Monitoring
- The Registrar’s Office will monitor the use of registration abilities granted to program advisors.
- Any misuse of these permissions or failure to comply with this policy may result in the revocation of registration abilities and potential disciplinary action.
- Review and Revision
- This policy will be reviewed annually by the Chief Academic Officer’s Office and the Registrar’s Office.
- The review ensures that the policy continues to meet the needs of students and advisors while protecting the integrity of the registration process.
