3357:12-14-08-Care Alert Policy


POLICY

Care Alerts are a mechanism for caring and supporting Zane State College students who may be experiencing academic or personal difficulties. The Zane Care Alert system provides proactive, intrusive, targeted, and just-in-time support for students whose performance, attendance, or behavior suggests that they may be struggling in their classes. Care Alerts are used throughout the semester but are often more effective in the first few weeks of the term when students need help to get them on the right track for the rest of the term.

 

SCOPE/POLICY GUIDELINES

Employees may identify students who appear to need extra attention and care; students themselves may also self-identify themselves as someone needing assistance with resources such as tutoring, financial resources, housing, transportation, and counseling.

Monitoring students’ progress and using Care Alerts to marshal resources for struggling students are important employee responsibilities at Zane State College. Signs that indicate a student may need help and resources could include:

  • Poor or missing early assignment(s)
  • No Blackboard login in first week
  • Missing course materials
  • Poor major test or assignment score
  • Missing two+ classes without alerting instructor
  • No response to instructor emails/calls for 48+ hours
  • Poor mid-term grade
  • Consistently late to class or with assignments

 

  • Financial, transportation, childcare, or other issues
  • Signs of emotional distress Benefits of Care Alert System Use
  1. Increases student’s awareness of the need for change and of employees and students wanting to help
  2. Allows the Success Coach/Advisor to discover underlying issues-such as, financial needs, test anxiety, interpersonal problems–that the student may hesitate to disclose to faculty
  3. Allows the Success Coach/Advisor to connect the student to on-campus or community resources
  4. Forms a partnership between the faculty and Success Coach/Advisor for supporting students and a shared record of problems and interventions (while preserving the confidentiality of information that the student does not want shared)

Employees should be mindful of the Care Alert as an opportunity to provide help where needed and thus be careful to use discretion and tact in all communications with and about the student. (See the Best Advising Practices for guidelines related to written communications.)
