A.POLICY

This policy establishes the procedural steps for reporting and addressing incidents of academic misconduct at Zane State College, ensuring a consistent and fair approach to maintaining academic integrity.

 

B.POLICY GUIDELINES

 

  1. Documentation of Academic Violations
    • Incidents of academic violations, whether suspected or proven, must be documented in the Zane State Incident Management System.
  2. Procedure for Reporting Academic Misconduct
    • Step 1: Evidence Collection
      • The instructor collects physical evidence, such as assignments, exams, or email correspondence.
    • Step 2: Initial Contact with Student
      • The instructor contacts the student to inform them of the evidence indicating potential academic misconduct.
    • Step 3: Consultation with the Academic Dean
      • Before meeting the student, the instructor consults the appropriate Academic Dean to discuss possible academic consequences and checks for prior violations.
      • If prior violations exist, proceed directly to Step 10.
    • Step 4: Meeting with the Student
      • The instructor meets with the student to present evidence and allow the student to provide a verbal or written explanation.
      • If a physical meeting is not possible, alternatives like email or virtual meetings may be used.
    • Step 5: Instructor Determination
      • After hearing the student’s explanation, the instructor decides:
        • No academic dishonesty occurred (no further action).
        • Unintentional dishonesty occurred, requiring only documentation (proceed to Step 6).
        • Intentional dishonesty occurred (proceed to Step 6).
    • Step 6: Filing the Report
      • The instructor completes the Academic Integrity Reporting Form in the Incident Report system, including evidence and a summary of conversations.
  3. Review and Action by Academic Dean
    • The report is forwarded to the Academic Dean, who reviews the evidence.

 

  • For unintentional dishonesty: The Academic Dean reviews and closes the record, formally notifying the student.
  • For intentional dishonesty: The Academic Dean, in agreement with the instructor, determines the consequence and notifies the student.
  • Resolution of Disagreements
    • If the instructor and Academic Dean disagree on consequences, the Chief Academic Officer is consulted to make the final decision and notify the student.
  • Handling Prior Violations
    • For repeat violations, the Academic Dean assigns appropriate consequences, documents the case, and notifies the student.
  • Student Requests for Hearings
    • Students may request a hearing under the “Hearings and Appeals” section of the Student Code of Conduct.

 

C.POLICY HISTORY

 

  • This policy is effective immediately.
  • Policy revisions approved by the President’s Cabinet.
