3357:12-13-19-Policy on Waitlists

A.POLICY
This policy establishes the procedures for students to join and manage class waitlists at Zane State College. The policy outlines the process for student notifications, waitlist prioritization, and the conditions under which students may be denied a position on the waitlist.
B.POLICY GUIDELINES
Joining a Waitlist
- Students may add themselves to a waitlist for a course that is full at the time of registration.
- Students may join the waitlist via the My ZSC registration system.
Notification of Course Availability
- When a seat in the class becomes available, the student at the top of the waitlist will receive a notification email.
- The email will be sent to the student’s Zane State College email account.
- The student will have 24 hours from the time the email is sent to enroll in the course.
Student Responsibility
- It is the student’s responsibility to check their Zane State College email account regularly for notifications regarding waitlist status.
- Students must add themselves to the course within 24 hours of notification.
- If a student does not add themselves to the course within the 24-hour window, they will be dropped from the waitlist and the next eligible student will be notified.
Waitlist Prioritization
- Waitlist positions are assigned on a first-come, first-served basis, with consideration of student eligibility for the course.
Eligibility for Waitlist PlacementStudents may be denied access to a waitlist for the following reasons:
- Waitlist capacity has been met: The total number of available waitlist spots has been filled.
- Registration hold: There is a hold on the student’s record (e.g., financial, academic, or administrative hold) that prevents registration.
- Course restrictions: Course restrictions are in place, such as instructor consent requirements.
- Duplicate course enrollment: The student is already enrolled in another section of the same course.
- Time conflict: There is a time conflict between the course on the waitlist and another course on the student’s schedule.
- Maximum credit hours: The student has reached the maximum credit hour load of 19 for the semester without additional authorization.
- Course start date: If the class has already begun for the semester, waitlist enrollment is no longer available.
C.POLICY HISTORY
- This policy is effective immediately.
- Policy revisions approved by the President’s Cabinet.
