A.POLICY
Requests for campus vehicles must be made at least three (3) business days in advance so that Facilities Management personnel can prepare the vehicle.
B.POLICY GUIDELINES
Vehicles will be reserved on a first-come, first-serve basis. (While instructional use is given highest priority, previous reservations will not be cancelled because of a later request unless subject to Sec. (B)(5).)
Procedure for all non-student employees desiring to use the College Vehicles:
Complete a Zane State College Vehicle Request form (available on My ZSC).
Submit the completed form to Facilities Management at least three (3) business days prior to the planned date the vehicle will be used. If you wish to schedule a vehicle for more than three (3) days, please be prompt and make the arrangements at least a month in advance.
Obtain the proper keys and approved request form from Facilities Management. You must provide a copy of your valid state-issued driver’s license for insurance purposes.
Promptly return the keys and the completed copy of the Vehicle Request Form to Facilities Management at the designated time to ensure availability for the next scheduled vehicle use.
Procedures for student employees:
Current student employees are permitted to reserve and drive College vehicles with proof of a valid state-issued driving license.
A copy of the driver’s license must be submitted to Facilities Management at least three (3) business days prior to the date of use of the vehicle to allow time for information to be forwarded to the insurance company.
Promptly return the keys to Facilities Management at the designated time to ensure availability for the next scheduled vehicle use.
Failure to follow this policy and the procedures herein may result in temporary or permanent loss of privileges to use College vehicles, and/or additional disciplinary action.
The College reserves in its sole discretion the right to deny requests for any basis, including inclement weather, or emergent circumstances that warrant the use of a previously reserved vehicle, if in the best interests of the College. Further the College reserves the right to deny an employee the privilege of using a College vehicle based on the employee’s known driving record. Such decisions will be at the discretion of the CFO.
